1. Who We Are
InkMemory ("we", "us", "our") is a CRM platform for tattoo artists. Our contact email is
support@inkmemory.lifeinsight-365.com. We are the data controller for account and platform data. Individual artists are the data controllers for their clients' personal data stored within the Service.
2. Data We Collect
Account data (artist):- Name and email address (via Clerk authentication)
- Profile information: display name, bio, Instagram handle, booking URL
- Subscription status and plan
Client data (entered by the artist):- Client name, email, phone number, notes
- Appointment details: date, time, duration, notes, status
- Session history and AI briefing summaries
- Consent waiver content and signatures
Usage data:- Log data and error reports (via Vercel)
- Session cookies (via Clerk)
3. How We Use Your Data
- To provide and operate the Service
- To send transactional emails: appointment reminders, deposit requests, aftercare instructions (via Resend)
- To generate AI-powered client briefings (via Anthropic Claude API — data is not used to train AI models)
- To process subscription payments (via Polar)
- To send service-related communications to account holders
We do not sell your data. We do not use your data for advertising.
4. Third-Party Services
We share data with the following trusted third parties to operate the Service:
- Clerk (clerk.com) — Authentication and user management. Privacy Policy
- Supabase (supabase.com) — Database storage. Data stored in AWS us-east-1. Privacy Policy
- Vercel (vercel.com) — Hosting and infrastructure. Privacy Policy
- Resend (resend.com) — Transactional email delivery. Privacy Policy
- Anthropic (anthropic.com) — AI briefing generation. Client data sent to generate briefings is not used to train models. Privacy Policy
- Polar (polar.sh) — Payment processing and Merchant of Record. Privacy Policy
5. Cookies
We use cookies that are strictly necessary to operate the Service, including session cookies set by Clerk for authentication. We do not use tracking or advertising cookies. By using InkMemory, you consent to these necessary cookies.
6. Data Retention
We retain account data for as long as your account is active. Client and appointment data is retained until you delete it or close your account. On account closure, all your data is deleted within 30 days. Backup copies may persist for up to 90 days after deletion.
7. Your Rights (GDPR / Global)
Depending on your location, you may have the right to:
- Access — Request a copy of your personal data
- Correction — Update inaccurate data (available directly in the app)
- Deletion — Request deletion of your account and all associated data
- Portability — Receive your data in a machine-readable format
- Objection — Object to certain types of processing

8. Data Security
We implement industry-standard security measures including encrypted connections (TLS), row-level security on all database tables, and access controls. However, no system is 100% secure. Please notify us immediately if you suspect unauthorised access to your account.
9. Children's Privacy
InkMemory is not directed at anyone under the age of 18. We do not knowingly collect personal data from minors. If you believe a minor has provided us with data, contact us and we will delete it promptly.
10. International Data Transfers
Our infrastructure is primarily based in the United States (AWS us-east-1 via Supabase, Vercel). If you are in the EU or EEA, your data is transferred to the US under standard contractual clauses or equivalent safeguards provided by our third-party processors.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify registered users by email before material changes take effect. The "Last updated" date at the top indicates when the policy was last revised.
